Who we are

This privacy notice covers rcoymena.com, the official website of RCOY MENA 2026 — the Regional Conference of Youth on Climate for the Middle East and North Africa, held in Nizwa, Sultanate of Oman, from 16 to 19 September 2026.

The site is run by the conference organising team. For any question about this notice or about data held on you, write to delegates@rcoymena.com.

What we collect

We only collect what you choose to send us:

• Contact and enquiry forms — your name, email address, and the message you write. These are emailed to the organising team.
• Correspondence — if you email us directly, we keep that email and our reply.
• Server logs — our hosting provider records standard web-server information such as IP address, browser type and the pages requested. This is used to keep the site running and secure.

We do not ask for, and you should not send us through this site, sensitive personal information such as passport numbers, health details or payment card data.

Cookies

This site does not use advertising or profiling cookies, and it does not run Google Analytics, Meta Pixel, or any similar third-party tracking script.

• Language preference — a cookie set by our multilingual plugin so the site remembers whether you are reading in English or Arabic.
• Support widget — our hosting provider (Hostinger) includes a support assistant that may set a cookie recording whether you have used it.
• Administration — cookies set only for signed-in members of the organising team.

You can block or delete cookies in your browser settings; the site will still work, but it may not remember your language.

How we use your information

We use what you send us to reply to you, to process delegate and speaker enquiries, to send you information about RCOY MENA 2026 that you asked for, and to keep the site secure. We do not use it for automated decision-making or profiling.

If you sign up for conference updates, we will email you about RCOY MENA and its outputs. Every such email carries a way to stop receiving them, and you can also ask us to stop at any time by writing to us.

Who we share it with

We do not sell your information and we do not share it with advertisers.

It is handled by the organising team and, where necessary, by the service providers who make the site work — our hosting provider and our email provider — acting on our instructions. Where a delegate application requires it, relevant details may be shared with the partner organisations co-organising the conference. We may also disclose information if the law requires it.

How long we keep it

Enquiry and form messages are kept for as long as they are useful to the organising team and are then deleted, normally within twenty-four months of the conference. Delegate and speaker records are kept for the same period so that the conference record and its outputs remain traceable. Server logs are kept for the shorter period set by our hosting provider.

Your rights

You can ask us to show you what we hold on you, to correct it, to delete it, or to stop using it. Write to delegates@rcoymena.com and we will respond as quickly as we can, normally within thirty days.

If you are in a jurisdiction that gives you additional statutory rights — for example under the EU or UK General Data Protection Regulation — those rights apply and you may also complain to your national supervisory authority.

Children and young people

This conference is a youth conference and some participants are under 18. Where a delegate is a minor, we ask for the consent of a parent or guardian before processing their application, and we keep the minimum information needed to run the conference safely.

This site links to third-party sites, including the UNFCCC, YOUNGO, partner organisations and social media platforms. Once you follow such a link, you are on their site and their privacy notice applies, not ours.

Changes to this notice

If we change how we handle information, we will update this page and change the date shown at the top. Material changes will also be announced on the site.
